By accessing this website we assume you accept these terms and conditions. Our Privacy Policy explains how we collect, use, and protect your personal information. When you book with Magic Moments Travel, we process data necessary for travel arrangements, including names, contact details, and travel preferences. We prioritize your privacy and ensure all data handling complies with industry standards to keep your magical experiences secure.

1. Booking Terms & Conditions

Magic Moments Travel ("Agency") acts as a sales agent for any airline, hotel, car-rental company, tour operator, cruise line, or other service provider named in your itinerary ("Suppliers"). The Agency is not responsible for the acts or omissions of the Suppliers or their failure to provide services or adhere to their own schedules.

Booking and Payments
All bookings are subject to the terms and conditions of the Suppliers. Deposits are required at the time of booking to secure your reservation. Final payment dates vary by Supplier and will be communicated at the time of booking. Failure to make payments by the due date may result in cancellation of your booking and forfeiture of deposits.

Cancellations and Changes
Cancellation and change fees vary by Supplier. In addition to Supplier fees, Magic Moments Travel reserves the right to charge administrative fees for significant changes or cancellations. We strongly recommend the purchase of comprehensive travel insurance to protect your investment.

Travel Documents
It is the responsibility of each traveler to ensure they have the valid travel documents required for their destination, including passports, visas, and health certificates. Modern passports generally must be valid for at least six months beyond your return date.

2. Payment Policy

To secure your Magic Moments Travel reservation, a non-refundable deposit is required at the time of booking. Final payment must be received by the date specified in your personalized travel proposal. Failure to provide payment by the due date may result in the cancellation of your bookings and forfeiture of your deposit. We accept major credit cards and electronic transfers. All payments are processed through secure gateways to ensure your financial safety. Please note that for some international travel, additional local taxes or fees may be collected directly by the supplier at the time of service. Magic Moments Travel acts as an intermediary, and your payments are ultimately governed by the terms of the individual service providers (airlines, hotels, cruise lines, etc.).

Cancellations and Refunds

At Magic Moments Travel, we understand that plans can change. However, please be aware that cancellations and refunds are subject to the specific policies of the travel supplier (cruise lines, resorts, airlines, tour operators, etc.) associated with your booking.

Magic Moments Travel does not charge any additional cancellation or administrative fees. However, any penalties or non-refundable deposits strictly follow the terms established by the supplier at the time of your reservation. We strongly encourage all clients to review the supplier's cancellation window and refund schedule prior to booking.

If you need to cancel or modify your trip, please reach out to your advisor as soon as possible. We will facilitate the cancellation process with the supplier on your behalf and confirm any applicable refund amounts or travel credits based on their current policy.

Travel Protection Recommendation: To minimize financial risk from unexpected cancellations, we highly recommend purchasing comprehensive travel insurance. Your advisor can provide quotes from our trusted insurance partners upon request.

Client Responsibilities

To ensure a magical and seamless vacation experience, Magic Moments Travel requires clients to fulfill certain responsibilities regarding their bookings and travel requirements.

  • Accuracy of Information: Clients must provide full legal names as they appear on passports or government-issued IDs, correct dates of birth, and valid contact information. Any fees resulting from incorrect information provided by the client will be the client's sole responsibility.
  • Travel Documentation: It is the client's responsibility to obtain and carry all required travel documents, including valid passports (typically valid for 6 months beyond travel dates), visas, and health certifications. Magic Moments Travel is not responsible for any issues arising from lack of proper documentation.
  • Review of Confirmations: Upon receipt of booking confirmations, clients must review all details immediately, including dates, names, flight times, and resort selections. Discrepancies must be reported to Magic Moments Travel within 24 hours.
  • Payments and Deadlines: Clients are responsible for meeting all payment deadlines. Failure to make final payments by the supplier's deadline may result in automatic cancellation of the booking and loss of deposit.
  • Travel Insurance: Magic Moments Travel strongly recommends the purchase of travel insurance. Clients who choose to decline insurance acknowledge that they are responsible for all cancellation fees and travel interruptions.
  • Supplier Terms: Clients agree to abide by the terms and conditions of all third-party suppliers, including airlines, hotels, cruise lines, and tour operators.
Agency Responsibilities & Liability

Magic Moments Travel (the “Agency”) acts solely as an intermediary between you and the travel suppliers (e.g., airlines, hotels, cruise lines, tour operators). The Agency does not own or operate any of these services and is not responsible for any failures, delays, or negligence on the part of the suppliers.

By booking with us, you acknowledge that the Agency is not liable for personal injury, property damage, or financial loss caused by any act or omission of a supplier. We are also not responsible for any modifications made to your itinerary by the supplier, including cancellations, route changes, or price adjustments. While we assist in managing your booking and communicating your needs, final responsibility for the service delivery rests with the third-party provider.

Travelers are responsible for ensuring they possess all necessary travel documentation, including passports, visas, and health certifications. The Agency strongly recommends the purchase of comprehensive travel insurance to protect against unforeseen circumstances, as we cannot guarantee refunds beyond what is offered by the original supplier policies.

Dispute Resolution

We strive to resolve any issues quickly and fairly. If you have a concern regarding your booking or our services, please contact us immediately. In the event that a dispute cannot be resolved through direct communication, both parties agree to attempt mediation before pursuing legal action. Magic Moments Travel operates under the jurisdiction of the State of Wisconsin.

Governing Law & Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the State of Wisconsin, without regard to its conflict of law provisions. Any dispute arising from these terms or your use of Magic Moments Travel services shall be resolved through binding arbitration or in the small claims court of Waukesha County, Wisconsin. By using our services, you agree to waive any right to a jury trial or to participate in a class action lawsuit.
